Standard markup on replacement parts should be 25-40% for common items (SMD 2835 modules, 2mm acrylic sheets, standard power supplies). For specialty items—custom-bent 5mm acrylic, 316 stainless trim, PVD-finished aluminum—go 50-60%.
Why the difference? Specialty parts require minimum orders. A 3mm acrylic sheet you can buy off the shelf. A custom color-matched PVD finish on 1.5mm aluminum? That's a factory run. Your markup covers the inventory risk and the 7-15 day lead time from China.
Pro tip: Include a clause that says "Client may request OEM-certified parts at 15% premium over standard markup." This covers you if a client insists on genuine Samsung modules instead of your standard stock. You're not blocking their preference—you're just pricing it honestly.

Every maintenance contract should require the client to maintain current permits and approvals. If a sign fails an electrical inspection (NEC Article 600) or an ADA compliance check (tactile signs at 48-60" mounting, Grade 2 Braille, non-glare finish), that's a separate scope of work—not covered by standard maintenance.
Include a clause that says: "Contractor will note any observed code violations during inspections but is not responsible for pre-existing non-compliance. Remediation of code violations is quoted separately at T&M rates."
This protects you from inheriting a client's past mistakes. I've seen shops get sued because a sign they maintained was non-compliant with a code that changed five years before they took over the contract. Don't be that shop.
